New system lets students reserve rooms at Davies Student Center

Mazevo is a new system replacing Event Management Software for reserving rooms at Davies Student Center, Schofield Auditorium and the Campus Mall. According to Tyler Baumgart, Mazevo is a scheduling system that makes reserving rooms accessible to every UW-Eau Claire student and faculty member. 

Baumgart, senior event services manager at UW-Eau Claire, played a role in leading the switch from EMS to Mazevo. Baumgart oversees the Event Services team and Baumgart works with Event Production to organize events on campus.

“I oversee and manage bookings, handle invoicing for reservations and equipment rentals, develop policies and procedures,” Baumgart said.

The previous reservation system, EMS, was not available to anyone outside of Event Services, Recreation or the Pablo Center at the Confluence. Reservations had to be made over the phone or through email. EMS was also not compatible with Mac devices.

“Mazevo is all web-based and can be accessed on any device that has internet capabilities,” Baumgart said.

The cost was a push factor for the switch. EMS’s fee increased annually for the same service, according to Baumgart. 

“In the first year alone we’re looking to save the university $2,000, by the second year closer to $8,000,” Baumgart said.

According to Baumgart, EMS had also become outdated. Mazevo provided the accessibility needed that EMS did not offer. 

“We’ve found using Mazevo allows us to be more efficient with time and allows for better means of communication between the requestor and coordinator,” Baumgart said.

Students, faculty and the 194 student organizations at UW-Eau Claire may request rooms through the website by inputting their school username and password. Mazevo allows users access to event details, past events and direct contact with the coordinator.

Mazevo sends an automated reminder for events and services requested. The option to provide feedback is provided after each time reserving a room. This feedback may be used to make any needed adjustments to the system.

At the end of the day, this is your building and we want you to feel at home here,” Baumgart said.

Mazevo had been in use within Event Services since Nov. 2023 and recently became accessible to students and faculty in February for the spring semester. Online instructions on how to reserve rooms can be found on the UWEC website.
